1. Introduction

Hong Kong Vet Academy ("we", "us") is committed to protecting your personal data in accordance with the Personal Data (Privacy) Ordinance (Cap. 486) of Hong Kong (the "PDPO").

This policy explains what personal data we collect through hkvetacademy.com, how we use it, and the rights available to you.

2. Personal data we collect

Enquiry data: name, email address, mobile number, age confirmation, current place of education and any description you choose to provide.

Account and placement data: profile details, profile photo, selected clinic and dates, daily logs, reference letters and certificates.

Clinic data: organisation name, location, website, description, veterinary surgeon profiles and bank account details used for commission payouts.

Technical data: limited log data generated when you access the Platform, used for security and service reliability.

3. How we use your data

To assess enquiries, arrange and administer placements, issue invoices and process payments, generate reference letters and certificates, calculate and pay clinic commissions, provide customer support, and meet legal or accounting obligations.

Providing your data is voluntary, but without it we may be unable to arrange a placement or operate your account.

4. Disclosure of your data

Student profile and placement information is shared with the clinic you select so that the clinic and supervising doctor can prepare for and supervise your placement.

We may disclose data to service providers who host our platform or process payments on our behalf, and to regulators, professional advisers or law enforcement where required by law.

We do not sell your personal data. We do not use your personal data in direct marketing without your prior consent, and you may withdraw that consent at any time at no cost.

5. Transfers and storage

Your data may be stored or processed on servers located outside Hong Kong by our technology providers. Where this occurs we take reasonable steps to ensure a comparable level of protection to that required under the PDPO.

6. Retention and security

We keep personal data only for as long as necessary for the purposes described above, including any period required for legal, tax or record-keeping purposes, after which it is erased or anonymised.

We apply access controls and encryption in transit to protect personal data against unauthorised access, processing or loss.

7. Your rights

Under sections 18 and 22 of the PDPO you have the right to request access to and correction of your personal data held by us. Requests should be sent to hello@hkvetacademy.com and will be answered within 40 days. A reasonable fee may be charged for complying with a data access request as permitted by the PDPO.

8. Cookies

We use essential cookies and similar browser storage to keep you signed in, remember your language and appearance preference, and secure the Platform. You can clear or block cookies in your browser, but parts of the Platform may not function.

We may update this policy from time to time and will publish the revised version on this page.
